We're Hiring an Operations Associate – Apply Today!

Looking for a launching pad for a career in social change? New Media Ventures (NMV) is hiring an Operations Associate to help us take our work to the next level! This is a new full-time role based in Oakland, CA and reporting to our Managing Director. The last two years have been an incredibly exciting time for NMV, and we’re thrilled to hire a new team member who will help refine and strengthen our operations. The role will give you unparalleled visibility into the workings of a complex entity, spanning legal, fundraising, investing, and strategy. It will also set up the right candidate to move into a leadership position over time.

About You

You’re a self-starter who’s extremely organized and thrives in a fast-paced, highly collaborative environment. You like to take ownership, solve problems where you see them, and help out when needed. No task is too small for you, but you’re constantly thinking about smarter, faster ways to accomplish what you’re doing without sacrificing quality. You’re the ultimate team player who can pinch hit to push projects to completion.

Responsibilities:

  • Keep our finances organized and accurate. Support the Managing Director with budget tracking, reconciliation, invoices, financial reports, income (grants) & expenses.
  • Nurture our most important asset – our team. Help manage our professional development, annual performance review process, staff retreat, and other HR duties. Help cultivate a work environment that attracts and motivates a top-quality, diverse staff.
  • Make sure our office is running smoothly. Manage the relationship with our coworking space, and take the lead on office supplies, furniture, supplies, and print jobs.
  • Keep us organized. Archive, organize, and maintain our most important documents, make sure the website is current, get contractors and vendors paid on time, and keep our meetings organized and efficient.
  • Make sure no gift goes unthanked. You’ll assist the fundraising team, owning end-to-end donor gift management & acknowledgement and helping with event logistics.
  • Keep ahead of the curve. We’ll look to you to research and suggest ideas on how we can improve all of our systems.

Note: NMV has an executive assistant who supports the team with scheduling, travel planning and data entry. These tasks will not be part of the operations associate’s responsibilities.

Qualifications:

  • Fast learner
  • Independent, highly organized with impeccable attention to detail, comfortable prioritizing and taking ownership across multiple projects
  • Proficient with Google drive, docs and sheets
  • 2 years of experience in finance, operations, administration, project management or other relevant fields
  • Strong values: you build relationships with empathy, integrity, and respect; you are committed to advancing social and environmental justice

Pluses (not required to apply):

  • Experience in human resources, finance or legal compliance
  • Experience with Salesforce
  • Experience with Quickbooks or other accounting software
  • Experience with InDesign and Microsoft Office (especially Powerpoint)
